What are labels and how can I use them to help plan my event?

Labels are a way to group, categorize, or tag, items in your event. You can apply labels to all your event data, such as speakers, sessions, locations etc.

For example here are some of the things our clients use labels for:

  • Assigning sessions to members of the team
  • Flagging sessions or speakers that need special attention
  • Tagging different types of sessions
  • Recording the status of a rehearsal

You can also use labels to unlock extra scheduling power in Lineup Ninja, for example:

  • Ensuring that sessions with a label run in a location with the same label. Eg to keep your ‘Virtual’ sessions on a ‘Virtual’ stage.
  • Ensuring that sessions run on a specific day or days. Eg to keep your ‘workshop’ sessions on the day prior to the main event.
  • Limiting the number of sessions with a specific label. Eg to make sure you don’t have more than 10 VIP sessions.
  • Limiting the number of sessions with a specific label that run at the same time. Eg to make sure you don’t have more than two VIP sessions running concurrently.

How do I create and manage labels?

Labels are easy to create:

  1. Navigate into your event and click on “Event Settings” in the left-hand menu
  2. Next click on “Labels” in the left-hand menu. This brings up the Labels List view
  3. To create a new label, click the blue ‘plus’ button on the right hand side of the screen
  4. Enter a name for the label
  5. If you have created other event data you can associate it with the label here too.

How do I add labels to sessions, speakers, resources, locations or tracks in bulk?

  1. Navigate into your event and click on “Agenda Planning” in the left-hand menu
  2. Next click on the type item you want to label in the left-hand menu. This brings up the respective List view
  3. Tick the items you want to label.
  4. Choose ‘Add Labels’ from the bulk actions menu at the bottom of the list.

How can I use labels to schedule sessions into a group of locations?

If you have a group of similar location, eg virtual stages, and you want to ensure that a sessions is scheduled into one of these locations then:

  1. Navigate into your event and click on “Event Settings” in the left-hand menu
  2. Next click on “Labels” in the left-hand menu. This brings up the label List view
  3. Find the label that you want to edit and click on its name.
  4. Edit the ‘Locations’ field row and select the locations you want to include in this rule.
  5. Edit the ‘Sessions’ field and add the sessions you want to apply this rule too. You can also do this from the sessions list, or from within an individual session.
  6. Toggle the Schedule sessions with this label in these locations button to on.

Lineup Ninja will now ensure that sessions with this label are scheduled into one of the selected locations.

How can I use labels to schedule sessions on a particular day or days?

If you have sessions you want to schedule on a specific day or days of your event you can:

  1. Navigate into your event and click on “Event Settings” in the left-hand menu
  2. Next click on “Labels” in the left-hand menu. This brings up the label List view
  3. Find the label that you want to edit and click on its name.
  4. Edit the ‘Dates’ field and select the dates you want to include in this rule.
  5. Edit the ‘Sessions’ field and add the sessions you want to apply this rule to. You can also do this from the sessions list, or from within an individual session.
  6. Toggle the Schedule sessions with this label in these dates button to on.

Lineup Ninja will now ensure that sessions with this label are scheduled into one of the selected dates.

How do I limit the number of sessions with a label?

You might want to limit the number of sessions that have a particular label.

  1. Navigate into your event and click on “Event Settings” in the left-hand menu
  2. Next click on “Labels” in the left-hand menu. This brings up the label List view
  3. Find the label that you want to edit and click on its name.
  4. Edit the value for ‘Max Sessions’. As you schedule your event Lineup Ninja will be checking to ensure that not more than this number of this sessions using this label.

How do I limit the number of sessions with a label that are running at the same time?

You may have limits on how many times a session with a specific label can run at the same time.

  1. Navigate into your event and click on “Event Settings” in the left-hand menu
  2. Next click on “Labels” in the left-hand menu. This brings up the labels List view
  3. Find the label that you want to edit and click on its name.
  4. Edit the value for ‘Concurrency’. As you schedule your event Lineup Ninja will be checking to ensure that not more than this number of sessions with this labael are in use at the same time.
