What are File Types and how can they help me?

Files types help you group and identify files that your team or your submitters have uploaded to your event.

Example file types might include

  • Slides
  • Handouts
  • Sponsor Logo
  • Model Release
  • Parking Permit
  • Certifications
  • … anything you can dream up

You can ask submitters to upload content in a Submission Flow and that content can optionally flow through to the Session and Speaker that are created on the agenda. For example you might want your submitters to upload Slides, and then have this appears on the Session on the agenda so your stage crew can access them.

You can leverage Submission Flows to apply whatever review process you need for uploaded files, for example you might want to screen Slides for poor layout, or incorrect logo usage.

How do I configure File Types?

You can create File Types in one of three ways

  • Via the ‘Event Settings’, ‘File Types’ menu item.
  • When configuring a ‘File Upload’ or ‘Image Upload’ question on the Form Designer
  • When attaching files to a session or speaker.

There are two different kinds of ‘File Type’, either ‘Image’ or just a regular ‘File’. When you create an ‘Image’ type you will be asked if you want the image to be cropped, and if so how, and what format you would like the image to be saved in.

What are the ‘Speaker Profile Picture’ and ‘Speaker Company Logo’ file types?

You will find two predefined image file types in your event. Once called ‘Speaker Profile Picture’ and one called ‘Speaker Company Logo’. These are special file types that map through from a Submission Flow, to the agenda, and then out to any integrations you have configured.

To use these in a Submission Flow use the ‘Ask the submitter for the speaker’s profile picture’ and ‘Ask the submitter for a logo of the companies business’, questions. This will ensure everything links together correctly.

No, it is not possible to change these from the default. This is to ensure the images can be successfully pushed through our integrations.

How do I use File Types in the Form Designer?

In the ‘Speaker’ section you will see four questions:

  • Ask the submitter for the speaker’s profile picture
    • This will automatically use the ‘Speaker Profile Picture’ file type
  • Ask the submitter for a logo of the speaker’s company
    • This will automatically use the ‘Speaker Company Logo’ file type
  • Ask the submitter to upload an image file (other than speaker profile or company logo)
    • You can choose or create a custom image file type for these questions
  • Ask the submitter to upload a file (other than an image)
    • You can choose or create a custom, non image, file type for these questions

And in other sections you will see:

You can choose if the files attached by the submitter are mapped through to the session and speaker on the agenda, by toggling the ‘Attach To Agenda’ option.

How do I attach files to Sessions and Speakers

To attach files to sessions and speakers on the agenda, browse into the session or speaker by clicking on it’s name, then scrolling down to ‘Upload a new image or file’.

Then choose the type of file you want to upload in the ‘Type of Image of File’ drop down, or you can choose to create a new type by selecting the corresponding option in the drop down.

Now drag and drop the file you want to upload onto the area under the drop down. Alternatively you can click the area to open a file system dialog.

What is ‘Generic File’?

A generic file is a file without a file type. If you have never configured file types all your files, other than the ‘Speaker Profile Picture’ and ‘Speaker Company Logo’, will be ‘Generic File’.

Can I delete a File Type?

Yes you can. If there are existing questions in a Submission Flow, or files linked to a speaker or session, then you will be asked to choose a new file type to change the existing questions and files to.

For images, if you change to a different file type with a different crop, existing images will not be changed, future uploads will get the new crop configuration.

Can I change the type of a file?

You can change the file type of a question on the Form Designer. This file type will be applied next time you create or update the session.

To change the file type of a file attached to a session or speaker download the file, delete it in Lineup Ninja and upload it after selecting the desired file type.

If a submitter updates a file will that replace a previously submitted file on the agenda?

If a submitter updates a file then that will show only on their submission until you choose to update the session from the submission. When you perform the update the previously uploaded file will be removed from the session or speaker and replaced with the newly uploaded file. This enables you to review the new file before making it available on the agenda.
