Sending From Your Own Domain

By default, your emails come from a Lineup Ninja address. You can instead send them from your own domain. Recipients see a sender they recognize, which builds trust and can improve delivery.

Setting this up takes two people: the Lineup Ninja user who starts and finishes the process, and whoever manages your domain’s DNS, who adds a few records. If that’s the same person, you’ll do both parts yourself.

Not the person who manages this team? If Lineup Ninja prompted you to verify a domain but you don’t have access to set it up, send this page to your Lineup Ninja team administrator. They can follow the steps below.

For the Lineup Ninja user

  1. In Lineup Ninja, open your team from the left-hand menu and select Domains.
  2. Click Add Email Domain and complete the form:
    • Name — a label for this integration, for your own reference only (for example, “Email Domain”).
    • Domain — the domain you want to send from.
    • E-mail From Name and E-mail From Address — the sender for team-wide system emails, such as login messages. Each event can set its own sender, so these only need to cover system mail.
  3. Lineup Ninja then shows you the DNS records that need to be added to your domain, which prove to email providers that Lineup Ninja is authorized to send on your behalf. Choose how to add them:
    • I’ll add the records myself shows the records in a table. Add each one to your DNS provider, exactly as shown.
    • My domain administrator manages the DNS produces a ready-to-send message containing the records and step-by-step instructions, with no Lineup Ninja login needed. Send it to whoever manages your DNS. The message links them to the domain administrator instructions below.
  4. Once the records have been added, come back to Lineup Ninja and click Validate Records in the Validation Status section.

The validation state tells you where things stand:

  • Pending — you haven’t validated yet. Add the records, then click Validate Records.
  • Validated — everything is in place and your emails will now be sent from your own domain. You’re done.
  • Failed — one or more records couldn’t be verified. The Validation Status section lists which, and why, and the records table flags them too. Check that each record was added exactly as shown — type, host, and value — then click Validate Records to re-test.

For your domain administrator

If you manage DNS for a domain and someone has asked you to authorize email sending for it, here’s what you need to do. You don’t need a Lineup Ninja login.

The person setting this up is enabling email sending for their domain through Lineup Ninja. The records facilitate SPF and DKIM — the standard email-authentication mechanisms that let receiving mail servers confirm the messages genuinely come from this domain and haven’t been tampered with in transit. Without them, mail sent on the domain’s behalf is far more likely to be rejected or marked as spam.

Note

These are all CNAME records. They point at the sending infrastructure, which publishes the actual SPF and DKIM entries on the domain’s behalf. You do not need to create any TXT records, or write your own SPF or DKIM records — just add the CNAMEs exactly as shown.

Lineup Ninja shows the sender several CNAME records, each with a Type, a Host, and a Value — they’ll pass these exact values on to you.

To add them:

  1. Sign in to the service where the domain’s DNS is managed.
  2. Add each record exactly as shown — type, host, and value.
  3. Save your changes.

Once the records are in place, the Lineup Ninja user will verify them — there’s nothing further you need to do.

Domain already verified elsewhere

Occasionally a domain has already been verified by another Lineup Ninja team. If that happens, you’ll see a state telling you that access has been requested and that our support team will be in touch. You don’t need to do anything else — we’ll follow up with you.
